Where the money leaks

Where Your Short-Term Rentals Lose Money, and What AI Can Catch

Six common places short-term rentals lose money, and how the AI helps with each. Then answer four quick questions to estimate two of them: fees on repeat guests and empty nights.

The six leaks

Some leaks are small and steady; some are rare but expensive. Across several homes and a full year, they add up.

📅

Empty nights and short gaps

US rentals averaged 56.9% occupancy in 2025 (AirDNA). Some empty nights are short gaps under your minimum stay; the AI relaxes it so they can book.

🔁

You pay platform fees on repeat guests

Airbnb's single host fee, about 15.5%, applies even to repeat guests (Airbnb Help Center). Vrbo shares guest email and phone; the AI saves them to your guest list and invites guests back to book direct.

🧹

Cleaning misses that cost reviews

Listings rated 4.9-5.0 for cleanliness were linked to 2.4x the booked nights of those under 4.5 (RapidEye 2026). The AI confirms each clean and follows up.

💡

Missed bills and shutoffs across homes

Utilities often run 3-10% of revenue (AirROI, rough estimate). With many accounts, a missed bill risks a shutoff mid-stay. The AI flags missing, past-due and shutoff bills by home.

Long-stay crews need fast quotes

Stays of 28+ nights were 18% of Airbnb nights in early 2023 (Airbnb). The AI replies to crews right away and drafts a quote for your OK.

Water and freeze damage found too late

Homeowner water and freeze claims average $15,400, about 1 claim per 67 homes a year (Triple-I/ISO, homeowner data). The AI watches outdoor water timers and flags offline devices.

Estimate the extra you could earn each year

Answer four quick questions, plus an optional one on long stays. Everything else starts from public research, and you can change it under Fine-tune.

1. What kind of market are your homes in?
4. How booked are your homes? Pick the closest match. Only the 57% option comes from research.
5. Optional: long-stay guests who could book direct For example crews, contractors or other work travelers, or guests who come back. Count the bookings you get now on any platform. Leave blank if none.

Your yearly estimate

Repeat guests you keep: their bookings, made direct with you instead of lost to other hosts–
Of that, platform fees you no longer pay (already counted above)–

How the AI helps keep them: it keeps a guest list of your past guests, their contact details and their stays. Vrbo shares a guest's email and phone once a booking is confirmed (Vrbo Help), so the AI saves them before checkout. Then, after your OK, it sends return reminders to crews and invites past guests to book direct next time.

Revenue from filling extra empty nights, after the platform fee–
Estimated value per year, before costsEnter homes and rate

How each line is calculated

Booked nights a year: homes × 30.4 × 12 × how booked.
Repeat guests you keep: (long-stay nights + repeat-guest rate × your other booked nights) × rate × share booking direct. Long-stay nights are bookings × nights per stay. Each night is counted once.
Platform fees you no longer pay: the line above × platform fee. Shown for context; already inside that line, so not added again.
Filled empty nights: homes × extra nights per month × 12 × rate × (1 − discount) × (1 − platform fee).
Total: repeat guests you keep + filled empty nights.
Market type: in a vacation market, long-stay nights come only from what you enter. In a work-travel market, if you leave the long-stay block blank, we assume 18% of your booked nights are long stays, the share of Airbnb nights from stays of 28+ nights in early 2023 (Airbnb). Our own Evansville homes point the same way: one work-crew guest stayed about three months, then rented a second home. All other defaults are the same in both markets; we found no source showing a difference.

An estimate, not a promise of results. A month is counted as 30.4 nights. Repeat guests you keep assumes those guests would otherwise book with another host, and that repeat guests make up the same share of your booked nights as the repeat-guest rate. Values use the nightly rate only; Airbnb's fee also applies to cleaning fees, so fee savings may be higher. Cleaning costs for extra filled nights are not included; filled one- or two-night stays usually need their own cleaning, which can use up much of that revenue. The estimate leaves out cleaning, taxes, card processing on direct bookings, and other costs.

Real Guest Story: Gabriel

How Gabriel Brought In Over $10,000 a Month, Two Months Running

Gabriel leads a work crew. He's a real guest at our own homes in Evansville, Indiana.

  • He first found our Evansville homes on Airbnb while working in town.
  • His next stay was booked on our direct site, so no Airbnb fee applied.
  • He stayed about three months straight, then rented a second home for his crew.
  • Last month, his direct long stay at one home saved at least $2,000 compared with Vrbo.
  • As a direct customer, he brought in over $10,000 a month, two months in a row.
  • Whenever he's back in Evansville, he books on our site.

How the AI helps you keep guests like Gabriel: it keeps your guest list, saves the email and phone Vrbo shares, and, after your OK, reminds crews and past guests to book direct next time.
